We are looking for a highly organized and proactive Learning & Development (L&D) and Vendor Coordination Specialist to manage key processes related to vendor coordination, employee training, and administrative support. The ideal candidate will work closely with internal teams and external vendors to ensure seamless operations, effective employee learning management, and coordination of training programs and engagement events.
1. Vendor Coordination
Coordinate with various vendors and the procurement & finance teams to ensure a smooth billing and payment process for around training & HR vendors.
Manage vendor registration, and oversee the creation of Purchase Invoices (PIs) and Purchase Orders (POs), ensuring multiple approvals at each stage.
2. Employee Data Management - L&D Administration
Upload and delete data for new and exiting employees on different learning & HR platforms weekly, using distinct templates.
3. Training Coordination
Assign courses to employees individually, tracking their training progress.
Follow up with employees weekly regarding their training completion status and gather feedback and other training initiatives.
4. Logistics Coordination
Coordinate logistics for classroom training programs, reward & recognition programs, town hall meetings, engagement events, and festival celebrations, including procuring awards and setting up venues. Manage logistical support for external trainers to ensure smooth training sessions.
5. Data Compilation and Reporting
Compile attendance sheets, feedback forms, and pictures from each training intervention. Maintain accurate records of training completion data and track participation against the annual training calendar.
6. Communication and Follow-Up
Send training manuals, thank-you cards, gift vouchers, and other materials to site employees via email and courier. Coordinate and schedule induction programs for new joiners, ensuring a smooth onboarding experience.
