About the job

We are looking for a highly organized and proactive executive assistant to support the executive director. The role involves managing schedules, coordinating with clients and vendors, and providing essential support to ensure smooth operations and excellent client experiences.

Key responsibilities:

1. Schedule management: Coordinate and optimize the executive coach's calendar.
2. Client follow-up: Manage follow-up communications regarding payments and inquiries.
3. Digital file management: Maintain and organize digital files for easy access and categorization.
4. Event management: Assist in planning and executing events, including logistics and vendor coordination.
5. Product and service explanation: Clearly explain the coach's products and services to prospective clients.
6. External agency coordination: Handle procurement, manage contracts, and ensure timely delivery of goods and services.
7. Travel coordination: Arrange travel plans, including flights, accommodations, and transportation.
8. Email management: Monitor and respond to emails on behalf of the executive.
9. Confidentiality management: Handle sensitive information with discretion.
10. Research and project assistance: Conduct research, assist with special projects, and manage client onboarding.
11. Expense management: Track and manage expenses, including preparing reports.

Other requirements

Qualifications:

1. Minimum graduate with proven experience as an executive assistant or in a similar role.

2. Exceptional organizational and time-management skills.

3. Strong written and verbal communication skills.

4. Proficiency in Microsoft Office Suite and familiarity with digital file management systems.

5. Experience with event planning and coordination.

6. Ability to handle confidential information professionally.

7. Familiarity with CRM systems, MIS, and project management tools.

8. Strong attention to detail, adaptability, and problem-solving skills.

9. Excellent interpersonal skills and the ability to manage multiple tasks efficiently.

Salary

Annual CTC: ₹ 2,00,000 - 4,00,000 /year
