About the job

Key Responsibilities:

a. Office Management:
1. Manage office operations and ensure the office runs smoothly on a daily basis.
2. Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
3. Oversee maintenance of office equipment and schedule repairs or replacements as needed.
4. Coordinate with building management for any facility-related issues.

b. Administrative Support:
1. Provide administrative support to executives and team members, including scheduling meetings, managing calendars, and making travel arrangements.
2. Assist in the preparation of regularly scheduled reports.
3. Handle incoming and outgoing mail and packages.
4. Maintain electronic and hard copy filing systems.

c. Finance Support:
1. Assist with accounts payable and receivable processes.
2. Process expense reports and reimbursements.
3. Assist in preparing financial reports as needed.

d. Communication and Coordination:
1. Serve as a point of contact between employees, clients, and external partners.
2. Coordinate meetings and events, including arranging catering and booking venues.

e. Other Duties:
1. Handle special projects and tasks as assigned by management.
2. Continuously seek opportunities to improve office processes and procedures.
3. Maintain confidentiality of sensitive information.
