Position overview:

We are seeking a highly organized Executive Assistant to support our executive team. This role involves managing schedules, coordinating meetings, handling communications, and supporting key projects. The ideal candidate will be detail-oriented with excellent communication skills and the ability to manage multiple tasks efficiently.

Key Responsibilities:

1. Calendar management: Manage executives' calendars, schedule meetings, appointments, and travel. Resolve scheduling conflicts and ensure efficient time management.
2. Communication: Serve as the main contact between executives and stakeholders. Draft and manage correspondence, including emails and memos.
3. Meeting coordination: Plan and organize meetings, prepare agendas, take minutes, and track action items. Ensure timely preparation and distribution of meeting materials.
4. Travel arrangements: Coordinate travel logistics, including flights and accommodations. Manage itineraries and handle travel-related issues.
5. Document management: Maintain and organize documents, records, and files. Ensure materials are up-to-date and accessible.
6. Project support: Assist with special projects, including research, data analysis, and report preparation. Work with other departments to achieve project milestones.

Other requirements

Qualifications:

Education: Bachelor’s degree in business administration, communications, or a related field preferred.

Experience: 1-2 years in an executive assistant role, ideally in healthcare or hospitality. Experience with senior executive schedules is a plus.

Skills: Strong organizational, communication, and time-management skills. Proficiency in Microsoft Office Suite. Ability to handle confidential information with discretion.
