About the job
We are seeking an organized and detail-oriented individual to join our e-commerce company in an administration role. As part of the administrative team, you will play a crucial role in ensuring the smooth operations of our business. Your primary responsibilities will include tracking invoices, managing employee leaves, overseeing stipend and salary releases, and handling various administrative tasks. Your attention to detail and strong organizational skills will contribute to the efficient functioning of our company.

Key responsibilities:

1. Track and manage invoices from vendors, ensuring timely processing and payments
2. Maintain accurate records of financial transactions and collaborate with the finance team to resolve any discrepancies
3. Monitor and maintain records of employee leaves, including vacation, sick leaves, and other absences
4. Process and release stipends and salaries to employees in a timely and accurate manner
5. Collaborate with the finance and HR teams to ensure payroll information is up to date and compliant with legal and company requirements
6. Provide general administrative support to various departments, including handling correspondence, scheduling meetings, managing calendars, and organizing documents
7. Maintain and update accurate records and databases related to invoices, employee leaves, stipend and salary payments, and other administrative data
8. Ensure confidentiality and security of sensitive information
9. Serve as a point of contact for internal and external inquiries related to administrative matters
10. Respond promptly and professionally to emails, phone calls, and other forms of communication
11. Monitor and manage inventory of office supplies, order replenishments when necessary, and ensure the proper functioning of office equipment
12. Coordinate with vendors for repairs and maintenance as needed
13. Organize and maintain physical and electronic files, ensuring proper documentation and filing of important records, contracts, and other relevant paperwork
14. Identify opportunities continuously for process improvement within the administrative functions, suggesting and implementing efficient solutions to enhance productivity and accuracy
